Version initial-2026 · Effective 8 October 2026

Effective 8 October 2026. Inviteyou helps couples and wedding planners organise wedding invitations and guest lists. This statement explains how we handle personal data about you and your guests.

1. Who is responsible?

Inviteyou operates Inviteyou and is responsible for account, support, and service-security data. For guest lists and RSVPs, we process data on the instructions of the couple or wedding organiser responsible for the wedding. Where data-protection law applies, they act as the controller and we act as their processor.

2. What information do we use?

  • Account details: names, email addresses, login details, account status, and access to weddings.
  • Wedding content: couple names, wedding date and location, photos, languages, and invitation or website content.
  • Guest details: names, contact details, invitation links, party members, language, RSVPs, attendance, and dietary requirements.
  • Service and support information: essential cookie and session data, limited technical logs, and information you share when contacting us.

Couples add wedding and guest information. Guests can provide or update details through their invitation. Wedding planners use the information shared with them through the service. Technical information is generated when you use Inviteyou.

3. Why we use information and our legal bases

We use personal data to provide wedding pages and invitations, record RSVPs, help organise guests, and provide account support. We process account and service data to fulfil our contract with you, meet legal obligations, and pursue our legitimate interest in keeping Inviteyou secure and reliable. We process guest data on the responsible organiser's instructions; they must have an appropriate legal basis and inform guests where required.

Only add information needed for the wedding, and keep it accurate. Dietary details can reveal health or religious information and may be special-category data. Request them only when needed and with an appropriate legal basis, normally the guest's explicit consent. Guests can leave optional dietary details blank or withdraw consent. Obtain any required parent or guardian consent for children.

We do not sell personal data, use guest lists for advertising, or make solely automated decisions that have legal or similarly significant effects.

4. Who can access information?

Couples and invited collaborators can access information for weddings they are authorised to use. A wedding planner invited through Inviteyou can view and export the guest list. Our authorised administrators may access information when needed for support, security, or legal obligations.

Service providers such as hosting, storage, and email providers may process data for us under contract. We may also disclose information where legally required. Contact us for details of our providers and safeguards.

International transfers

If a provider processes data outside the European Economic Area, we use a lawful transfer mechanism, such as an adequacy decision or the European Commission's Standard Contractual Clauses, with additional safeguards where needed. You can request details through our privacy contact.

5. How long do we keep information?

  • Guest lists: guest details, invitation codes, RSVPs, attendance, and dietary information are permanently removed 14 calendar days after the wedding date.
  • Couple accounts: the account is deactivated 14 calendar days after the wedding date. Account information is removed or anonymised when it is no longer needed.
  • Other records: planner accounts, support, security, and compliance records are kept only as long as needed to provide the service, resolve disputes, or meet legal obligations.
  • Backups: deleted information may remain in protected backups until they expire. It is kept out of ordinary use unless preservation is legally required.

If you need an export, download it before the deadline. Couples and planners are responsible for keeping exported files secure and deleting them when no longer needed.

6. Security and cookies

We use access controls, secure sign-in, and technical safeguards to protect personal data. Protect your login details and share guest lists and invitation links only with the intended people. Report suspected loss or unauthorised access through our privacy or support contact so we can investigate and address any required notifications.

Inviteyou uses essential cookies for sign-in, sessions, security, language, and interface preferences. This statement does not authorise advertising or cross-site tracking cookies.

7. Your data-protection rights

Under the GDPR, where applicable, you can request access, correction, deletion, restriction, or a portable copy of your data, and object to certain uses. These rights are subject to legal conditions and exceptions. If processing relies on consent, you can withdraw it without affecting earlier lawful use.

For guest information, contact the couple or organiser of the wedding first. For account information or help with a request, use our privacy contact above. We may need to verify your identity and normally respond within one month, subject to lawful extensions.

You can also complain to your local data-protection authority. In the Netherlands, this is the Autoriteit Persoonsgegevens.

8. Changes to this statement

We may update this statement as Inviteyou changes. We will communicate material changes through the service or your account contact. The effective date above shows the current version.
